We’ve got something for every style of celebration, from luxury resorts and boutique hotels to adults-only and family-friendly retreats. We will also include essential details for every resort, such as the best time to visit, travel logistics, guest capacities, amenities, and a list of exciting activities and excursions. After reading this blog post, you’ll know a whole lot more about how to find the right venue that speaks to you and it will only be just a click away!
How To Choose Perfect Tropical Wedding Resort
The first stage of planning your wedding in exotic location is to imagine your perfect
You will need to find everything you can online about what each resort offers from rooms and amenities to the food and the beach itself. Carefully think about whether or not the overall atmosphere of each location matches the vibe you are going for. Think about the type of ceremony you want – will it be on the beach? In a chapel? On a boat perhaps? Under a gazebo? How about on a pier? What about a ballroom?
You will also need to know about local offsite attractions, activities and excursions. Don’t forget that with destination weddings, you need to consider what will be going for everyone during your entire stay there, from arrival until departure. This is no longer just about you both, it includes your family and friends who are traveling with you.
That is one of the big differences about being married at home where you don’t have to plan for what family and friends will be doing before and after the ceremony. At home, planning a wedding is usually only about the big day itself, from the ceremony to the reception. The focus is limited to things like the venue, the decorations, the wedding table décor and the food that will be served. When it is over, everyone is on their own. With destination weddings, you will definitely be more involved with ensuring everyone who attends will have a wonderful time for the length of the trip.

Here are a few important details to take into consideration to ensure saying “I do” is as easy as a sea breeze:
- Set your budget – As we discussed in our earlier post, list every expense including transportation, accommodations, transfers, food, flowers, the photographer, music, gratuities, taxes, etc) in order to figure out your budget. Proper budgeting and then sticking to it will help you to set realistic expectations, manage costs easier, prioritize spending, prevent overspending, and will reduce stress.
- Number of guests – Unless budgets aren’t really an issue, destination weddings are typically smaller and more intimate. They tend to be more personalized experiences so to create your guest list, start with your closest family and friends and see where you land. If there is more room on the list, add additional people who are truly important to you.
- Location & accessibility – Consider how easy it will be for you and the guests to travel to the resort. Ideally, you should pick a destination that balances beauty with convenience. While remote islands may be inconvenient for some guests because they require multiple connecting flights and/or boat transfers, they do offer adventures, plenty of exploration opportunities, seclusion, and a peaceful sanctuary that refreshes your mind, body, and spirit. That might work out for everyone you are inviting. But just know that older guests may not be able to attend due to challenging travel logistics or health concerns. Guests with smaller children might also decide that the trip is not for them. So accessibility and total travel time are important factors to consider for certain family and friends.

- Scenery & atmosphere – How do you picture your wedding? What is your dream setting? When it comes to picturesque panoramas and epic views, the choices are truly unlimited. You can have the classic beach, overwater bungalows, lush
tropical jungle landscape, or dramatic scenery with volcanic rocks. - Resort wedding package & services – Many hotels offer wedding packages that include a wedding planner, basic decorations, catering, cake, music, wedding favors, and assistance with marriage license documentation. Compare different packages and contact each resort to ask questions so you can be sure to get the quality service you will expect that will meet your needs and your budget.
- Amenities – Since
tropical weddings double as mini vacation for your guests, look for resorts that offer various amenities and activities for your guests to enjoy. It should offer a wide array of options because different people like different things. Carefully review everything including water sports, the spa and wellness options, entertainment, the availability of diverse dining options, island tours, boat excursions, shuttle services and anything else your guests might wish to have available. - Legal requirements – Marriage laws vary by country with some requiring residency periods or special paperwork. So check out the legal requirements well in advance to ensure everything runs smoothly. Refer to our earlier blog post about this as well.
- Weather – This is a big one! All
tropical regions have rainy and dry seasons. While there are no guarantees that you will have absolutely perfect weather on your special day, regardless of where you choose to go, research the best time to visit to decrease the chance of severe weather. And remember, if you do end up with a lot of rain while you are there, it is not the resort’s fault. We have heard from several resorts about wedding parties requesting refunds because they got rained out. Resorts have no control over the weather!

Finding the Right Venue Size
Venue capacity isn’t just about fitting everyone in, it’s about ensuring everyone is comfortable while retaining an intimate atmosphere. To ensure your venue is the right size for your party, consider the following factors:
Guest count and required space
A general guideline for a seated dinner reception is to allow a minimum of 12 to 15 square feet per guest. This space covers seating area, dance floor, buffet tables, food stations, entertainment setup, and guest movement. Pick a spot that has enough space for everyone and doesn’t feel too crowded or too empty.
Below are some general rules of space requirements by wedding style:
- Less formal, partial seating: 8 – 10 square feet per guest
- Cocktail party with dance floor: 12 – 14 square feet per guest
- Buffet dinner with dance floor : 20 – 24 square feet per guest
- Formal dinner with dance floor: 18 – 22 square feet per guest

Layout
Different venue layouts affect how spacious and how comfortable the room will feel. For this reason, it’s important to find a space with a layout that allows for smooth guest movement, better social interaction, and easy access to food stations, the dance floor, and restrooms. Even the shape of the tables can impact the overall perception of the space. For instance, round tables maximize space and can fit more guests while banquet tables are better suited for long, narrow rooms. Ask the resort for floor plans with different layouts to visualize how the reception space will look.

Extra features
If you plan to have extra features such as a stage for a band or other live music, confirm with resort that there is enough space for everything you plan to include.
Special effects such as fireworks or anything else that is fire or flame-based may not be allowed. Verify ahead of time if the special effects you plan to have are permitted.
Backup plan
If you plan on having an outdoor wedding, have a backup plan in place, plain and simple.
- Choosing a venue with both indoor and outdoor spaces
- Finding a resort with covered outdoor areas (gazebos, pavilions, large tents)
- Renting a large tent (ensure the rental company can handle the logistics and tent setup)
- Have rain gear ready for guests (umbrellas, stylish ponchos, rain boots)
- If you are planning a wedding in an area that is prone to extreme weather, consider purchasing wedding insurance.
What Type of Resort is Best for my Group?
When choosing a
Here are a few different resort categories to consider:
- Boutique resorts for intimate, romantic weddings – Boutique resorts are designed for smaller, more intimate groups, often with more exclusivity, luxury, and personalized service than larger, standard hotels. They typically have less than 100 rooms and have a more cozy atmosphere along with more attentive staff.
- All-inclusive, family-friendly resort for large groups – If your guest list is long, it’s best to choose an all-inclusive resort because they usually offer different packages, they are convenient, and they help guests to save money. Family-friendly resorts typically have a lot of amenities and activities for children of all ages including children’s pools, kids’ clubs, kid-friendly entertainment, and babysitting services.
- Adults-only resort for a more refined atmosphere – Adults-only resorts feature sophisticated ambiance and a serene environment (they are our favorite!). They focus on adult-only amenities like swim-up bars, golf courses, spa treatments, gourmet dining, live shows and bars with excellent liquor, wine, and cocktail selections.
- Luxury resorts for upscale celebrations – Luxury resorts offer superb first-class facilities, premium services such as wedding VIP treatment, butler service, romantic breakfasts for the couple, exclusive gourmet dining, and wedding night turndown service. These are typically the most high-end resorts.
- Budget-friendly resorts for a cost-effective celebration – You can have your dream
tropical wedding even without spending an enormous amount of money. Budget-friendly resorts are not expensive and still offer certain amenities and can still be quite enjoyable. As with any other hotel, read the online reviews and guest testimonials before choosing your favorite one. - Eco-resorts for nature lovers – Eco-friendly resorts are known for their environmental responsibility, responsible waste management, energy-efficiency, marine life conservation programs, biodiversity protection, and many other eco-friendly initiatives. If you want to have an eco-friendly celebration from start to finish, these types of resorts could very well be for you.
